FTS is growing. More people are involved, more programs are running, and more requests are moving at once. When communication is scattered across individual inboxes, texts, and social DMs, things get missed or delayed.
This guide creates one cleaner flow for every marketing, portal, FLI, website, event, and communication support request. Cleaner communication means faster results for FTS and the people it serves.

Healthy Bosses Network is FTS's dedicated support team for digital systems, communication, and public-facing growth infrastructure. At this time, Steve Foster, Dan Carrera, and Sharon Hall are the designated FTS points of contact for direct communication with Healthy Bosses Network. This helps keep communication organized, leadership-aligned, and easier to track before updates are shared across the broader FTS team.

Billing account management, payer decisions, and authorization decisions are FTS internal responsibilities.
Corrective action, supervision enforcement, and staff management authority remain with FTS leadership.
Legal decisions and final business policy approvals are not within HBN's scope.
ADP and payroll decisions remain with the appropriate FTS internal lead.
The FTS staff portal is intended to be a free staff-facing resource area for active FTS staff. Staff access will be provided as needed. If someone is no longer an active staff member, their portal access should be removed.
The FLI didactic training may remain available inside the staff portal for FTS staff access. This is staff-facing access and remains separate from public learner communication.
The FTS staff portal should not require scholarship codes or group discount codes because it is intended to be free for active FTS staff. Scholarship codes and group discount codes should apply only to the FLI learner portal when FTS wants to provide special access, scholarships, group pricing, or program-specific discounts.
HBN can help FTS organize approved updates, KPI visibility, weekly progress points, blockers, and communication-related tracking so leadership can better see what is moving, what needs follow-up, and what can be promoted. This matters because FTS is doing meaningful work across programs, training, services, events, and partnerships. When those updates are organized, HBN can help turn approved progress into stronger reporting, marketing, visibility, newsletters, website updates, and social content.

The Success Coach role is mainly to work directly with FTS ownership and designated leadership contacts, clarify priorities, support marketing and systems alignment, help translate approved strategy across the right leadership lanes, and make sure approved HBN-related tasks are moving.
If FTS wants a Success Coach present for a major event to capture boots-on-ground video, photography, social media coverage, or strategic observation, that should be requested at least one month in advance whenever possible.

When sending a request to HBN, designated FTS contacts should include the following details so the task can be reviewed, confirmed, and completed without delay.

What files, links, photos, videos, logos, copy, or examples should HBN use?
Are there partners, sponsors, programs, departments, or outside organizations involved?
Should this be promoted on the website, social media, newsletter, email, portal, flyer, podcast/media, or multiple channels?
Is this public-facing?
Does this involve PHI, HR, payroll, billing, authorization, payer, client care, or confidential information?
Who should be copied on the thread?
Marketing is not just the flyer, post, page, or task.
Marketing works best when HBN understands the full purpose, audience, next step, deadline, and bigger vision. A task with no context may not be completed correctly.
If a request is time-sensitive, include the date and deadline. Give at least 24 hours whenever possible.
Event coverage, campaign planning, video/photo coverage, page updates, multi-channel promotion, and major launches all need more advance notice.
Once activated and tested, the HBN task request form will live inside the client and member portal area, connected to the support system. It is the structured path for submitting support requests.
Name, email, phone, organization, request type, related brand or program, task title, task details, due date, priority, links or files, approval contact, public-facing status, and sensitive information flag.
The form notifies support@HealthyBossesNetwork.com. The submitter receives a confirmation that HBN has received the request and will review it, confirm the timeline, and follow up when the task is started, needs clarification, or is complete.

Anything public-facing or involving sensitive information requires the correct FTS approval before HBN releases or distributes it. HBN will never publish or distribute public-facing content without that confirmation.
All public-facing content should be coordinated through HBN Support so messaging stays consistent, on-brand, and approved before it reaches an audience.

Because HBN supports FTS marketing, visibility, website updates, training support, podcast/media promotion, Monday.com visibility, newsletters, and public-facing communication systems, most public-facing materials should be shared with HBN before or during rollout. This helps prevent mixed messaging, duplicate work, missed promotion opportunities, and brand confusion.
Certain categories of information should never be sent through general task request forms, marketing email threads, or social media channels.
If a sensitive issue affects a marketing or public-facing update, describe the general need without protected details and ask FTS leadership to confirm the proper secure path.
HBN can help communicate approved, non-PHI, public-facing, staff-facing, or operational information. FTS leadership remains responsible for clinical, HR, payer, billing, authorization, compliance, legal, supervision, and client-level decisions.
Here are four common scenarios and the right way to handle each one. All requests should be routed through the designated FTS points of contact.
Situation: Instead of sending only "I need a flyer," send the full picture. "We have an approved event coming up. We need HBN to review the flyer, confirm the event details, prepare social media promotion, add it to the website if needed, prepare a recap plan, and confirm what photos or videos should be captured."

Situation: FTS has a new program, updated logo, trademark update, partner item, or approved public-facing announcement. HBN needs the approved language, logo, date, purpose, audience, links, and where it should appear before publishing or promoting it.
